Setup help for the tools we compare

This is a paid service, run by CinchStack’s editor, Rohail Nisar. It is kept apart from our reviews: scores and picks come from our published method, and setup costs the same whichever tool you choose, including tools that pay us nothing. How we earn.

Choosing the right tool is half the job. The other half is setting it up: moving contacts out of a spreadsheet, connecting the web form to the CRM, and making sure a new lead gets a reply while you are busy. Rohail does that work for small businesses. There is a free 30-minute call first, then a fixed quote, so you know the price before anything starts.

Who this is for, and who it is not for

It suits a business of one to twenty people using the kinds of tools this site compares: a CRM, email marketing, a funnel or course platform, a scheduling tool and the automations that join them up.

It is not the right fit for an enterprise rollout across many departments, a voice agent that handles regulated health records, or building a software product from scratch.

Packages

Prices are in US dollars. “From” means the price for the scope listed; anything bigger is quoted after the call, in writing, before work starts. Every build ends with written documentation, a short video walkthrough, and every account and file in your name.

Software stack review

Stack Check

$200 · 5 business days

Solo to 20-person businesses choosing or untangling their CRM, email, funnel and automation tools, or paying for tools that overlap.

  • 45-minute call about how the business runs today
  • Review of every tool you pay for, and what each one costs
  • Written report: keep, cut or switch, tool by tool
  • Monthly cost now against the proposed stack, using this site's dated pricing records
  • The three fixes worth doing first, ranked by effort and payoff
  • A 30-day plan

Credited in full against any build booked within 30 days.

If nothing needs to change, or a free plan will do, the report says so.

Automation Build

from $400 · 3 to 7 business days

Teams retyping the same data between two to four tools: forms into the CRM, orders into a sheet, invoices into accounting.

  • One end-to-end workflow, built in your own account
  • Duplicate checks, error handling, retries and failure alerts
  • A test log run with real records
  • Written documentation and a short video walkthrough
  • 30 days of fixes

Extra workflows are quoted after the call.

If the tool you already pay for has a built-in automation that covers it, you will hear that first.

CRM Setup and Migration

from $1,200 · 2 to 3 weeks

Businesses moving off spreadsheets, or from one CRM to another.

  • Pipeline, stages and custom fields
  • Import and clean-up of contacts from one source (up to 10,000)
  • Web form, email and calendar connected
  • Three to five automations: lead routing, follow-ups, reminders
  • One dashboard, and user accounts set up
  • One hour of training, recorded
  • 30 days of support

Extra data sources, integrations or several teams are quoted after the call.

Only need a basic GoHighLevel account set up? HighLevel offers new accounts its own done-for-you setup for $299 one-time (as of 6 October 2026). Use that.

A chat assistant that answers from your own documents

AI Website Assistant

from $800 · 1 to 2 weeks

Local and service businesses whose inbox fills with the same questions about prices, policies and booking.

  • Assistant trained on your site pages and documents
  • Answers limited to those sources, with rules for handing off to a person
  • Leads captured into your CRM, plus your booking link
  • Hand-off to a person by email or text message
  • A 30-question test set, with the results
  • Built in a platform account you own

The chat platform's own monthly fee is separate and paid by you.

If an off-the-shelf chat tool covers your questions on its own, you will hear that on the call.

Answers calls, books appointments, sends summaries

AI Voice Receptionist

from $1,200 · 2 to 3 weeks

Trades, salons, repair shops and other appointment businesses that miss calls while they work. Not for practices handling health records.

  • Voice agent in an account you own, on a new number or call forwarding
  • Call script and a knowledge base of your answers
  • Bookings into your calendar or CRM, with text confirmations
  • Call summaries to email or your CRM
  • Transfer and escalation rules
  • A set of test calls, and 30 days of tuning

Call minutes and the phone number are billed by the voice platform to you.

If a ready-made AI receptionist covers your calls for a monthly fee, you will hear that on the call.

Keep it running: $120/mo. Monitoring, fixes and small changes to what was built. Optional, and you can stop it any month.

Need something that is not listed? Spreadsheet and Excel automation, reporting dashboards and API integrations (Shopify, Stripe, QuickBooks, Twilio and others) are quoted the same way after a free call.

How it works

  1. Send the form below with what you use now and what should change.
  2. A reply within two business days to book a free 30-minute call, at a time that suits your morning or evening.
  3. A written scope and a fixed price. Nothing starts until you agree to both.
  4. The build, in stages, with a short demo at each one, so you see it working before the next part.
  5. Handover: documentation, a video, and 30 days of fixes. You own every account, workflow and file.

Who does the work

Rohail Nisar runs CinchStack and has done automation, CRM and spreadsheet work for clients since long before this site existed. The record is public, so you can check it rather than take our word for it:

  • Top Rated on Upwork · 121 jobs · $100K+ earned (as of 6 October 2026). See the profile and reviews.
  • MBA in Finance, and more than ten years inside operations and finance teams.
  • Recent builds include an AI voice receptionist and website chat assistant for a repair shop, an order-intake flow that reads orders from several channels and files them automatically, and an order-to-cash rebuild that cut most of the manual steps.

We do not publish client testimonials we cannot show you the source of. The reviews are on the Upwork profile, written by the clients themselves.

Ways to pay

  • Direct: a Payoneer invoice you can pay by card or bank transfer, or a bank wire for larger projects. The Stack Check is paid upfront; larger builds are paid half at the start and half at handover.
  • Through Upwork: if you would rather have your payment held in escrow, Rohail sends an Upwork contract. Upwork adds its own client fee at checkout. If you already hire on Upwork, send the invitation there instead.

Questions before you send the form

Do I need this, or can I set it up myself?

Many people can. The pricing and setup notes on each tool page on this site are written so you can. Paid help makes sense when the setup touches several tools at once, when contacts need moving and cleaning, or when your time is worth more spent on the business.

Will you push me towards a particular tool?

No. The price is the same whichever tool you pick, and the Stack Check says so when the tool you already pay for, a free plan, or the vendor’s own onboarding will do the job.

Do you need my passwords?

No. You invite Rohail to each tool as a user, and remove that access after handover.

What do the tools themselves cost?

The software is billed to you by each vendor, separately from this work. Each tool’s pricing page on this site shows the real monthly cost for a small team.

What if something breaks later?

Fixes are included for 30 days after handover. After that there is the optional monthly plan in the packages above, or an hourly rate for one-off changes.

What time zone do you work in?

Pakistan (UTC+5). Calls are booked in your morning or evening, and most of the build happens outside your working hours.

What if it does not work out?

If the agreed scope cannot be delivered, you get back what you paid for the parts not delivered, and the Stack Check is refunded in full if the report is not delivered on time. Work paid through Upwork follows Upwork’s own escrow and dispute terms.
