Zoho CRM pricing: what it really costs
As of 27 September 2026, Zoho CRM's cheapest paid edition, Standard, costs $20 a user a month, or $14 if you pay yearly. Every edition is priced strictly per user, with no contact-count tiers, but mass marketing email is capped by organization, not by user, so a growing team can be forced onto a pricier edition long before it needs more seats. Zoho CRM suits an agency, a freelancer or an early-stage SaaS company that wants a straightforward CRM at a predictable per-seat price and does not need built-in texting, which Zoho does not sell as a feature on any edition.

What you will really pay
What a business actually pays for Zoho CRM each month at three sizes, with every line of the bill shown. Built from the prices above as of 27 September 2026; open “How we worked this out” under any total for the assumptions.
Solo operator, 1 seat, on Standard
$20 / month
high confidence- Zoho CRM Standard, 1 user at US$20/user/month, paid month-to-month$20
Plan: Standard · billed monthly.
How we worked this out
1 user, 1,000 contacts, 2,000 marketing emails and 200 SMS a month. Free is ruled out because it has no Mass Email (bulk send) feature at all; Standard adds it with a cap of 250 mass emails/day per organization (about 7,500/month over 30 days), which comfortably covers 2,000/month. 1,000 contacts is far under Standard's 100,000-record storage cap. Zoho CRM has no native SMS/texting feature on its pricing or feature-comparison pages, so the 200 SMS/month cannot be priced and are not included (see unverified). Billed annually the same seat is US$14/month (US$168/year) instead of US$20/month (US$240/year) paid month-to-month.
3-person team, 3 seats, on Enterprise (forced by mass-email volume)
$150 / month
medium confidence- Zoho CRM Enterprise, 3 users at US$50/user/month, paid month-to-month$150
Plan: Enterprise · billed monthly.
How we worked this out
3 users, 5,000 contacts, 20,000 marketing emails and 1,000 SMS a month. Org-wide Mass Email caps, extended to a month at 30 days, are Standard 250/day (about 7,500/month) and Professional 500/day (about 15,000/month) - both short of 20,000/month. Enterprise's 1,000/day (about 30,000/month) is the first tier that covers it. 3 seats and 5,000 contacts are both far under Enterprise's other limits regardless. Zoho CRM has no native SMS feature, so the 1,000 SMS/month cannot be priced and are not included (see unverified). Billed annually the same 3 seats are US$40/user/month (US$120/month, US$1,440/year) instead of US$150/month (US$1,800/year) paid month-to-month. If 20,000 mass emails/month were spread unevenly and effectively fit within Professional's roughly 15,000/month published cap, Professional at US$35/user/month (US$105/month for 3 seats) would be cheaper; we picked Enterprise because 20,000/month is the layer's stated assumption and exceeds Professional's published cap.
8-person team, 8 seats, on Ultimate (mass-email volume exceeds every edition's cap)
$520 / month
low confidence- Zoho CRM Ultimate, 8 users at US$65/user/month, paid month-to-month$520
Plan: Ultimate · billed monthly.
How we worked this out
8 users, 25,000 contacts, 100,000 marketing emails and 5,000 SMS a month. Ultimate is the highest self-serve edition, and its org-wide Mass Email cap (2,000/day, about 60,000/month over 30 days) is still short of the 100,000/month assumption for this layer - no Zoho CRM edition's published limit reaches 100,000/month. Ultimate is used here as the best available fit; reaching 100,000/month natively would need a separate product or a support-approved limit increase not published on these pages (Zoho's own FAQ points large deployments toward migration/consultation services). 8 seats and 25,000 contacts are both far under Ultimate's other limits. Zoho CRM has no native SMS feature, so the 5,000 SMS/month cannot be priced and are not included (see unverified). Billed annually the same 8 seats are US$52/user/month (US$416/month, US$4,992/year) instead of US$520/month (US$6,240/year) paid month-to-month. Enterprise and Ultimate both offer a cheaper Lite User seat (US$12/month annual, US$15/month monthly) for team members who only need limited CRM access, which could lower this line if not all 8 need full seats; not applied here because the layer's standard sizing does not distinguish seat types. Confidence is low because no edition's published mass-email limit actually reaches the 100,000/month assumed for this scenario.
Which Zoho CRM edition does a small team actually need?
A single person who only needs contact, lead and deal tracking, with no bulk email, fits the Free edition and pays nothing: up to 3 users, workflow automation, 10 email templates and the mobile apps, with no credit card. The moment a business wants to send even one bulk marketing campaign, Free is out — it has no Mass Email feature at any volume — and the next edition up, $20, becomes the real starting point. A solo operator sending a modest list fits Standard comfortably: $20 a month for one seat, well inside Standard’s cap of 250 mass emails a day for the whole organization.
Seat count is not usually what forces the next jump. A 3-person team sending around 20,000 marketing emails a month runs straight into the org-wide Mass Email ceiling: Standard and Professional both cap out below that (roughly 7,500 and 15,000 a month respectively), so the team needs $50, which comes to $150 a month for three seats — a jump driven entirely by sending volume, not headcount. An 8-person team sending around 100,000 emails a month lands on $65, Zoho’s top edition, for $520 a month — and even Ultimate’s cap, about 60,000 mass emails a month, falls short of that volume. No edition natively supports that volume; Zoho’s own FAQ points larger deployments toward a sales conversation instead.
What actually pushes a Zoho CRM bill above the seat price?
Zoho CRM’s biggest advantage over many CRMs is also its main planning trap: there are no contact-count tiers on any edition, so an account with 100 contacts and one approaching Standard’s 100,000-record storage cap pay the same per seat, as long as both stay under that edition’s total-record limit. What actually raises the bill is the Mass Email ceiling described above, plus a short list of add-ons. Additional data storage costs $4 per 100MB a month for the whole organization, not available on Free or Standard; additional file storage costs $4.60 per 5GB a month, not available on Free. An on-demand data-backup request costs $12 each once you’ve used the free monthly allotment (none on Free, 2 a month on Standard, Professional and Enterprise, 4 a month on Ultimate). Enterprise and Ultimate also sell a cheaper Lite User seat for team members who only need limited access, billed at $12 a month if paid annually — a real saving, but only on those two editions.
One more limit worth planning around: Zoho CRM has no native SMS or texting feature on its pricing page or its full feature-comparison page. A business that wants to text leads from inside the CRM has to add a separate integration Zoho doesn’t price here at all.
Is paying Zoho CRM annually worth it?
Yes, if the team’s seat count and edition choice are settled: every paid edition costs 20 to 34 percent less per seat billed annually. Standard drops to $14 a seat, coming to $168 a year instead of $240 paid month-to-month. Professional drops to $23, or $276 a year instead of $420. Enterprise drops to $40, $480 a year instead of $600. Ultimate drops to $52, $624 a year instead of $780. Zoho’s own FAQ describes the product as pay-as-you-go either way, with no contract and the freedom to change plans anytime. The catch: that flexibility is priced in. Paying month-to-month is the only way to avoid a year-long prepayment, and it costs noticeably more per seat for exactly that option. A team still deciding between editions, or unsure how many seats it needs this year, gains nothing by prepaying early — start monthly, then switch once the choice is settled.
What does Zoho’s pricing page leave out?
A few details matter more than the plan cards suggest. Ultimate is not shown as a card on Zoho’s main pricing page at all — only Free, Standard, Professional and Enterprise are — so its price and limits live only on Zoho’s separate feature-comparison page, even though it offers the same self-serve trial as the others. Local taxes may apply on top of every listed price, stated once on the pricing page with no rate or country list given. Zoho’s feature-comparison page also references pricing for “additional Portal user licenses” without ever showing a figure, so a business needing portal access for external users can’t price that from the public pages alone. On regional pricing, every version of Zoho’s pricing page checked showed “US$“-prefixed prices, and a direct request for an India-locale URL returned a 404 rather than a differently priced page — evidence against a region-based price, though it does not rule out geolocation-based pricing that only a real visit from another country would reveal.
How does Zoho CRM’s real bill compare with Pipedrive, HubSpot and GoHighLevel?
Pipedrive is the closest like-for-like comparison: another per-seat sales CRM with named editions instead of Zoho’s usage metering. Pipedrive’s cheapest plan, Lite, costs $24 a month against Zoho Standard’s $20, but Lite has no email sync and no automation at all, a gap Standard doesn’t share. Across the three bills on this page, Zoho comes out cheaper than Pipedrive at every size: $40 against $20 for a solo operator, and the gap widens from there — though Zoho’s small and growing bills carry medium and low confidence, since they’re forced onto a costlier edition by the Mass Email ceiling rather than by a feature every buyer needs.
HubSpot’s Marketing Hub prices very differently again: a small team’s real HubSpot bill runs to $1,100 a month, against Zoho Enterprise’s $150 for a similarly sized team — largely because texting forces HubSpot onto its $890-a-month Professional edition, which also carries a required $3,000 onboarding fee and a 12-month commitment Zoho doesn’t ask for at any edition. GoHighLevel takes a third approach: unlimited users and contacts on every plan, starting at $97 a month, but texting, calling and most AI features meter separately from a prepaid wallet — a better fit for a business that wants to pay for phone and text usage directly than watch an org-wide email cap decide its edition.
Who should skip Zoho CRM?
Skip Zoho CRM if texting leads and customers from inside the CRM matters to the workflow: no edition, from Free through Ultimate, lists a native SMS feature or a per-message rate on either of Zoho’s own pricing pages. Skip it too if the business already sends, or expects to grow past, about 60,000 marketing emails a month — that’s Ultimate’s ceiling, the highest Zoho publishes, and nothing beyond it is priced for self-serve signup. And skip the month-to-month option specifically if the goal is the annual per-seat price without prepaying the year: Zoho’s discount is real, at 20 to 34 percent depending on edition, but it is not available without the yearly commitment attached to it. For a business that fits inside those limits — an agency, a freelancer, a local-service business or an early-stage SaaS company that wants predictable per-seat pricing and no contact-count tiers to budget around — Zoho CRM’s structure is straightforward to plan against.

Billing rules worth knowing
- Zoho CRM is pay-as-you-go with no contracts: pay monthly or yearly, and change plans at any time (Zoho's own FAQ wording).
- Annual billing is the default view on the pricing page and costs 20-34% less per seat than paying month-to-month, depending on plan (Standard: US$14 vs US$20/user/month; Professional: US$23 vs US$35; Enterprise: US$40 vs US$50; Ultimate: US$52 vs US$65).
- Accepted payment: Visa, MasterCard, American Express and PayPal; yearly subscriptions can also be paid by bank transfer or check.
- Local taxes may apply on top of the listed prices.
- Ultimate is not shown as a card on the main pricing page (only Free, Standard, Professional and Enterprise are); its price and features are listed only on Zoho's feature-comparison page, where it still offers a self-serve 'Try Now' free trial.
How we checked this
Zoho CRM: Read Zoho CRM's own pricing page in a US-locale (en-US, America/New_York) headless browser, capturing both the Monthly and Annually toggle states with the FAQ expanded, and its full feature-comparison page with every row expanded (the only page that shows Ultimate, which has no card on the main pricing page). Also checked the India-locale URL path directly. Every price on every capture was explicitly prefixed 'US$'. Snapshots saved. Last verified . Prices are US list prices in USD.

- India-locale path check: returned HTTP 404, no separate localized pricing page found at this path — read 27 September 2026
These prices appear only after choosing options on the vendor's page, so they are re-checked by hand rather than automatically.
- Zoho CRM does not list a native SMS/texting feature or per-SMS rate on its pricing or feature-comparison pages; the standard 200/1,000/5,000-SMS-per-month assumptions used for this layer's scenarios are not reflected in any scenario line.
- No Zoho CRM edition's published Mass Email cap reaches 100,000 emails/month (Ultimate's is about 60,000/month); what it would actually cost to send 100,000/month (a different Zoho product, or a support-approved limit increase) is not published.
- Additional Portal user license pricing is referenced ('Pricing for additional portal user licenses') on the feature-comparison page, but no figure is shown there.
- Whether Zoho shows non-USD pricing (e.g. INR) to visitors it detects as being outside the US: we saw only 'US$'-prefixed prices, the bare pricing URL redirected to the /en-us/ path, and a direct /en-in/ path returned a 404; we did not test IP-based geolocation from other countries directly.
We re-check every price against the vendor's page each Monday; changes are logged on the changes page. See a price that's wrong? Tell us and we will correct it the same week.
Frequently asked questions
Is Zoho CRM actually free, and what are the free plan's limits?
Yes. Zoho CRM's Free edition costs $0 a month for up to 3 users, with no credit card required. It covers contact, lead and deal management, follow-up reminders, workflow automation, 10 custom email templates, tasks, meetings, calls, data import and export, standard reports, APIs and the mobile apps. The catch is storage and sending: Free caps out at 5,000 records and 10MB of total storage, and it has no Mass Email feature at all, so it cannot send a bulk marketing campaign of any kind — that starts on the $20-a-month Standard edition. Individual one-to-one emails are capped too, at 50 a user a day and 150 for the whole organization a day. For a single person testing whether a CRM fits before spending anything, Free covers the basics; a business that wants to email a list needs a paid edition.
How much does Zoho CRM cost per user across its plans?
Zoho CRM has five editions, each priced flat per user with no contact-count tiers. Free costs $0. Standard costs $20 a user a month paid monthly, or $14 a user a month billed annually. Professional costs $35 monthly or $23 annually. Enterprise costs $50 monthly or $40 annually. Ultimate, the highest tier, costs $65 monthly or $52 annually, and isn't shown as a card on Zoho's main pricing page — its price and limits are listed only on Zoho's separate feature-comparison page. Every jump between editions raises automation, customization and reporting limits, not contact capacity: a 100-contact account and a 90,000-contact account on the same edition pay the same per seat, as long as they stay under that edition's total-record storage cap. Local taxes may apply on top of every listed price, per a single line on Zoho's pricing page that gives no rate or country list.
What happens if a Zoho CRM free-plan team needs a fourth user?
Free is hard-capped at 3 users with no way to add a fourth seat individually; Zoho's pricing page and feature-comparison page both treat that 3-user ceiling as a wall, not a soft limit. To add a fourth person, the account has to move to a paid edition, starting with Standard at $20 a user a month paid monthly, or $14 a user a month billed annually ($168 a year). That means the jump from Free to Standard isn't just paying for one more seat: each edition's limits, like its per-organization Mass Email cap and profile and role counts, apply account-wide rather than per user, so the whole team moves onto the new edition's per-seat price together, not just the new hire. A 3-person team that's about to hire a fourth should budget for the full per-seat cost across everyone when it plans that move.
Does Zoho CRM limit how many marketing emails you can send?
Yes, and the limit works differently than on many CRMs: Zoho caps Mass Email by organization per day, not per user. Standard allows 250 mass emails a day company-wide (roughly 7,500 a month), Professional 500 a day (about 15,000 a month), Enterprise 1,000 a day (about 30,000 a month), and Ultimate 2,000 a day (about 60,000 a month) — the highest tier Zoho publishes. That means a 3-person team sending 20,000 marketing emails a month can be forced onto Enterprise, at $50 a user a month paid monthly, purely by sending volume, even though 3 seats alone would easily fit on a cheaper edition. Individual one-to-one emails are capped separately and per user, starting at 50 a day on Free and rising with each edition. Nothing Zoho publishes covers sending above about 60,000 mass emails a month.
Is Zoho CRM cheaper if you pay annually?
Yes, on every paid edition. Standard drops from $20 a month to $14 a month billed annually ($168 a year instead of $240). Professional drops from $35 to $23 a month ($276 a year instead of $420). Enterprise drops from $50 to $40 a month ($480 a year instead of $600). Ultimate drops from $65 to $52 a month ($624 a year instead of $780). That's a savings of 20 to 34 percent per seat depending on the edition, and it's the default view Zoho shows on its own pricing page. Zoho's FAQ describes the product as pay-as-you-go either way, with no contract and the ability to change plans at any time, but that flexibility costs more per seat: paying month-to-month is the only way to avoid committing to a year upfront, and it costs noticeably more for exactly that option.
Does Zoho CRM offer a free trial, and does it need a credit card?
Yes. Zoho CRM gives every paid edition, Standard, Professional, Enterprise and Ultimate, its own 15-day free trial, and none of them ask for a credit card to start, each with its own "Free Trial" or "Try Now" button on Zoho's pricing and feature-comparison pages. That lets you test the specific edition you're considering rather than a single generic tier. The Free edition doesn't need a trial at all: it costs $0 and is capped at 3 users, so a solo operator or a very small team can use it directly instead of starting a trial clock. Because no card is required for any trial, there's nothing to cancel before a charge lands the way there is with tools that bill automatically once a trial ends. What isn't stated on Zoho's pricing pages is exactly what happens to trial data if you don't purchase before the 15 days run out.
Can Zoho CRM send text messages (SMS) to leads and customers?
Not as a native, priced feature. Zoho's pricing page and its full feature-comparison page, covering every edition from Free through Ultimate, list workflow automation, mass and individual email, calling and mobile apps, but neither page lists an SMS or texting feature or a per-message rate anywhere. A business that wants to text leads from inside Zoho CRM has to connect a separate integration or third-party service that Zoho doesn't price or support directly on these pages. That gap is worth weighing against Zoho CRM's other advantages if texting leads is part of the daily workflow, since no edition — including Ultimate at the top of the range — adds native SMS later.
